Director of Member Engagement & Operations

POSITION SUMMARY:
Seeking an energetic, experienced customer service-oriented and skilled professional to provide a range
of supportive administrative services for the Chief Executive Officer (CEO) and to provide superior
customer care to members as the Director of Member Engagement and Operations for the Tuscaloosa
Association of REALTORS®. The ideal candidate will be able to work confidentially and accurately and is
detail oriented. The position is onsite, Monday-Friday, 8:00am – 5:00pm.
As Director of Member Engagement and Operations this person will be responsible for planning and
implementing Professional Development offerings for members; coordinating and managing the essential
services of the Association, including maintenance of records and files, member communications,
maintaining the Association’s social media accounts, and being the primary point-of-contact at the
Association office. This individual must be knowledgeable of all Association, as well as, NAR activities,
policies, procedures and operations.
ESSENTIAL FUNCTIONS:
• Coordinates, plans and implements all Professional Development offerings of the Association,
including: Lunch & Learns, Continuing Education (CE) classes, Broker events,
Designation/Certification courses, seminars, workshops, Zooms/webinars, etc. pursuant to
applicable regulations.
• Secures lunch sponsors for Lunch & Learns.
• Responsible for the advertising and promotion of Professional Development offerings, including
but not limited to: all aspects of instructor and course approval for CE credit with the Alabama
Real Estate Commission (AREC), scheduling and finalization of classes with the instructor,
scheduling the class with the AREC under TARSORE (Tuscaloosa Association of Realtors School of
Real Estate), setting up classes and events in GrowthZone, promoting Professional Development
offerings to Association members via email, MLS pop-ups, social media, etc.
• Responsible for all aspects of the Professional Development offering, including: registration,
collecting course fees (if any), creating and maintaining attendance sign-in/sign-out sheets,
preparation of classroom on the day of the event.
• Works with the CEO to hire instructors for CE classes and Designation/Certification courses.
• Maintains knowledge of regulations which impact Professional Development programs offered by
the Association.
• Ensures that the Association offers, promotes, or provides Professional Development
opportunities for members on an annual basis in order to comply with NAR’s Core Standards.
• Oversees the submittal and approval process for all CE courses with the AREC.
• Responsible for the submission of CE credit for class attendees.
• Serves as the Administrator for TARSORE with the AREC.
• Maintains attendance verification records and CE credit submission records for all CE Classes and
Designation/Certification courses.
• Works with the Professional Development Committee to plan New Member Orientation in March,
July and November, including but not limited to: securing location for orientation, getting
sponsors, coordinating panelists and speakers, planning the agenda, putting together handouts
and materials for attendees, sending attendance notice reminders to attendees, ensuring new
members have completed Code of Ethics requirement for new members prior to orientation.

• Works within established budgets.
• Tracks Code of Ethics course completion for members in the National REALTORS® M1 Database.
• Assists with preparation of agenda for TAR Membership Luncheons.
• Attends TAR Membership Luncheons and other special Association events, assists with set-up,
preparation, check-in, and promotion of events.
• Maintains Association membership files and records.
• Assists with Association forms design and development.
• Assists with member communications via email, newsletter, social media, and the GrowthZone
AMS.
• Designs forms, flyers and notices for various meetings and events as requested and needed.
• Maintains a calendar of all Association meetings, classes, and events; coordinates with CEO’s
calendar.
• Serves as Staff Liaison to Association Committees as needed, determined by the CEO.
• Assists with ARPAC fundraising activities.
• Serves as primary point of contact for all membership and Association services and incoming
phone calls to the Association office, handling situations whenever possible and/or forwarding to
proper party.
• Orders office supplies as needed.
• Assists with development and direction of Association media programs.
• Assists with preparation of REALTOR®, WAMLS, and Lockbox dues billing. Ensures timely and
accurate reports of financial information; posts/maintains receipts and bank deposits;
prepares/maintains billing system, including invoicing, receipts and credit card payments;
monitors/processes Accounts Receivable and initiates follow-up of overdue accounts.
• Assists with Lockbox services with other Staff as needed.
• All other duties as assigned by CEO.
BASIC QUALIFICATIONS:
• Bachelor’s degree
• 3+ years’ experience in a professional service environment with administrative, management
and/or supervisory experience
• Experience in educational programming, meeting planning, and/or conference management,
including but not limited to: contract negotiation, exhibitor and sponsor solicitation and
management, budget analysis and management, and practical application of meeting and design
concepts
ADDITIONAL SKILLS AND ABILITIES:
• Excellent customer service and support skills and the ability to maintain a positive attitude amidst
job demands. Exceptional written and oral communication skills and the ability to build trusted
relationships with customers and fellow staff members. Must be a team player.
• Demonstrated ability to anticipate problems, identify opportunities, and take a proactive
approach to project management.
• Excellent organization skills and attention to detail.
• Demonstrated effective written and verbal communications skills. Ability to work effectively and
collaboratively within a team setting.
• Intermediate to advanced level of knowledge in Microsoft Office applications (Outlook, Word,
Excel, PowerPoint).

• Knowledge of QuickBooks is preferred.
• Ability to execute objectives in a variety of situations and circumstances, including project
deadlines, demanding members, tight budgets, evolving goals and objectives.
• Ability to work effectively with co-workers, members, and others by sharing ideas in a constructive
and positive manner.
• Excellent work ethic and attendance.
• Real estate experience is helpful but not required.
• Highly effective at “multi-tasking.”
• Attention to detail and extremely organized.
• Candidate must be articulate, easygoing, but disciplined and friendly.
WORK ENVIRONMENT AND PHYSICAL DEMANDS:
• Ability to walk, stand, and sit (including on the floor) for long periods of time.
• Must be able to lift and carry supplies weighing up to 20 pounds.
• Ability to stand or sit while maintaining alertness for several hours at a time.
• Position may require bending, leaning, kneeling, and walking.
• Ability to speak concisely and effectively communicate.
• Visual and auditory ability to respond to critical situations and physical ability to act swiftly in an
emergency.
• Ability to view/enter data for long periods of time.
• Offsite work may be required.
• Some travel may be required.
